To serve as the primary logistics business partner for the assigned export markets ensuring effective order management and shipment execution, close coordination with source factories on order readiness and dispatch, freight forwarder management, and providing reliable and effective customer service to distributors.
Acts as the single point of contact for the distributors, local marketing teams (LMT), and source factories on all logistics-related concerns for the assigned export markets.
The role interacts heavily with both internal and external stakeholders.
For internal stakeholders, the role work closely with Country Managers, Local Marketing Team, Tade Marketing Team, Finance Team, Demand Planning Team& RNPD Team.
For external stakeholders, the role closely interacts with Distributors and Freight Forwarders across Vietnam, Indonesia and China.
Principal accountabilities
Order Management:
Provides Sales Outlook based on Orders for the next 2 months
Ensures purchase orders are placed in the system in accordance with the standard lead time and factory requirements
Secures timely confirmation of purchase orders with factories and proactively manages and resolves order-related issues such as MOQ/MPR, PM/RM shortages, SKU code transitions, capacity allocation, etc.
Ensures delivery of orders on time and in full.
Shipping and Transportation Management:
Addresses all issues concerning shipment booking, together with the factory, to ensure potential shipment delays are addressed in a timely and cost-effective manner.
Tracks shipment progress from source factory to port of destination and provides regular updates to LMT and distributors
Freight Forwarder Management:
Manages operational performance against agreed service levels and KPIs
Drives continuous improvement on service reliability and execution quality
Approves freight forwarder invoices in accordance with approved rates and commercial terms
Service Level & KPI Ownership:
Owns logistics service KPI’s for the assigned markets.
Tracks service performance trends, provides insights and RCA, and identifies actions to close variances.
Conducts regular review with distributors and LMT to assess logistics KPIs, Market Performance, priorities, urgent matters, and other alignments through monthly meetings.
Issue resolution:
Acts as escalation point for logistics concerns and coordinates cross-functional responses with source factories, LMT, QA, 3PL’s.
Le RCA and CAPA in case of service failures
Act as Factory Champion
Develop a strong understanding of factory operations and identify specific actions to support the achievement of SC shared KPIs.
Write Off and Material Obsolescence
Responsible for managing RM and PM obsolescence as the product approaches the end-of-life cycle for existing/active SKUs. Diligent monitoring of low moving reports to prevent/minimize write offs.
He/She also needs to ensure timely feedback to the factories on Expired RM/PM disposition to facilitate WO Approval and invoicing.
Collaborates final write off with RNPD team
Cost Management
:
Track and analyse VSE costs by lane
Update the Freight Matrix to HK Finance
Identify cost saving opportunities
Present market insights in monthly reviews and support budget planning
CRM system management
:
Provide assistance to the markets on addressing issues concerning usage of the CRM system. This will entail liaising with Regional IT in diagnostics and troubleshooting as needed.
NPD SKU set-up checking for CIF pricing
Experience:
Bachelor's degree in Industrial Engineering, Management Engineering, Business Management, Or Any Supply Chain /Logistics-related Course
At least 5 years of hands-on experience on export logistics, order management for export markets
Proven experience in 3PL management, ocean freight logistics, and cross-border end to end order fulfilment.
Strong proficiency in Microsoft Excel
Knowledge with Power BI is a strong advantage for service KPI tracking, visualisation
With International markets in Asia Pacific exposure is required
Familiarity with working dynamics with Distributors within Asia
